Reporting to: Head of Supporter Fundraising
Hours: Full time, Monday to Friday, normal office hours are 9:00 to 5:00, 37.5 hours per week. Flexibility is available around start and finish times.
Salary: £21,000 per annum
Location: Hybrid working – Minimum 40% of working time to be spent in the office based in Welwyn Garden City, Hertfordshire. Includes occasional local, regional and national travel.
Job purpose
The Fundraising Assistant is the first point of contact for supporter and donor enquiries. You will be responsible for delivering excellent supporter care, ensuring that all supporters receive a high level of support throughout their time supporting the charity. You will ensure that supporter information and contact is recorded accurately on our supporter database, income is processed efficiently, donors and fundraisers are thanked in a timely way and stewardship actions are carried out to foster lasting relationships and drive further support.
You will continually identify ways to improve processes and procedures to ensure all our donors and supporters have a great experience supporting Willow.
Main duties/responsibilities
- To work across the fundraising teams to ensure all Willow supporters receive the highest standard of supporter care.
- To ensure that that all Willow fundraising and donation income (including donations made online, postal donations, online fundraising via Just Giving /Virgin Money Just Giving etc, telephone donations, raffle ticket donations and event entry income and sponsorship is processed and thanked in line with the Willow supporter care guide.
- To support all Fundraising Team in dealing with telephone, email and postal enquiries from Willow supporters and enquirers.
- To support all fundraising teams with thanking and stewardship taks
- To be responsible for accurately updating our supporter database, Raisers Edge with all supporters’ details including; contact information, Gift Aid declarations and preferences provided by supporters via the website, email, post, and information provided by other staff. Respond to supporter enquiries about their data, preferences and other queries (referring to others as necessary).
- To ensure that donations are acknowledged, coded and thanked within the agreed timescales.
- To produce reports and queries as required using Raisers Edge to support the activities of the fundraising teams.
- To Run data and income reports from the charities donation platform Enthuse and other online giving platforms such as Just giving for income coding, stewardship and to ensure constituent records in RE are up to date. Liaise with fundraising teams to ensure donations are coded accurately
- To fulfil requests for materials from supporters provide support and advice with their fundraising activity and respond to enquires generated by our supporter magazine and e-newsletters.
- To be proactive in identifying and referring key supporters to other teams, as part of an agreed referral process passing details of supporter feedback and following up on referrals
- To Support and attend fundraising events as required.
Qualifications, Knowledge and Experience
Essential
- Customer care experience
- Ability to work as part of a small, flexible and hard-working team
- Delivering high quality supporter and donor care through ongoing contact and communication.
- Confident and articulate, able to build successful, mutually beneficial relationship with internal and external audiences.
- Self-reliant and confident IT user including internet, email, design, databases, spreadsheets and MS Office.
Desirable
- Experience with working with a database or CRM system
- Experience of working in the charity / fundraising sector.
- Experience of working on administration within a fundraising, events or marketing environment.
Skills and Abilities
- High attention to detail
- Ability to manage own workload
- Good verbal and written communication skills
