Finance Assistant

Reports to: Deputy Finance Director
Location: Based at our office in Welwyn Garden City; home working possible for 60% of hours
Hours: Part time approx 15 hours per week, flexibility as to split between days
Contract: Initially 6 months with potential to extend
Salary: £21,000 – £23,000 FTE dependant on experience
This role is responsible for day-to-day finance and administrative duties with a focus on maintaining both purchase and sales ledger to a high level of detail and accuracy. The successful candidate will be joining a small, flexible finance team supporting all areas of the charity.
Key Responsibilities
- Managing the finance email mailbox and post dealing with internal and external queries
- Processing purchase invoices and payments
- Recording income on Aqilla, our finance system
Key Tasks
- Dealing with all emails received in the finance mailbox in a timely manner processing each in the correct way and escalating as appropriate
- Processing purchase invoices
- Processing staff expenses claims and petty cash payments
- Generating payments on time by BACs
- Dealing with supplier statements and queries
- Preparing and issuing sales invoices
- Uploading income batches into Aqilla via Excel
- Holiday cover for other finance tasks – for example entering income our Raiser’s Edge database
Other Finance Responsibilities
- Helping to supervise finance volunteers
- Providing ad hoc financial information required by other members of staff
- From time to time covering work of other staff within the department when they are absent or assist with their work when urgent priorities arise
General Other
- From time to time attending fundraising events to process, record and safeguard receipts on the day (TOIL will be available if such work is outside normal hours and the attendance is required)
- From time to time, other tasks as requested by the Deputy Finance Director or Finance Director

Skills and Abilities
- At least A-C or equivalent in GCSE Maths required, further qualification desirable
- Strong technical skills – ability to transfer easily to our Aqilla financial software
- Strong Excel skills
- Good ability to manage own workload
- Experience within a finance department desirable
- Experience on scheduling, prioritising and organising, for example Personal Assistant type skills would be very useful
