Job title: Breakaway Coordinator
Contract: Fixed term contract 1 year with the possibility of an extension dependent on ongoing funding.
Salary: £26 000 per annum pro rata
Hours: 15 hrs per week worked flexibly (usually Monday-Friday within office hours)
Location: Hybrid working; Home based and North Herts CVS Office in Hitchin, with occasional travel across North Herts and Stevenage
Responsible to: Breakaway Manager

Purpose:
• To help provide a fun and interactive playscheme for children with additional needs, whilst giving vital respite to their parents during school holidays and fortnightly on Saturdays.
• Provide an invaluable administrative support to ensure that the playschemes operate safely and effectively

Main Responsibilities:
• Process job applications for Play Assistants and arrange and assist with interviews, follow up references and organise DBS checks and training as required.
• Providing administrative support to the Breakaway Manager to ensure that relevant documents, reports and activities are recorded so that the service meets the requirements of Ofsted National Standards and our funders.
• To assist in the growth and development of the service, including attending playschemes, taking photos of activities and assisting the Project Manager to promote the service in the community.
• To support the Breakaway Manager, Play Leaders and Play Assistants to deliver fun and engaging activities for the children in attendance.

Typical other responsibilities (not an exhaustive list):
• Accurately prepare and process the paperwork for each playscheme, to ensure that each child’s personal information is up to date for each playscheme they attend. To collate, scan and file any reports and documents from playscheme sessions.
• Keep children’s/young peoples’ files updated and work with the Breakaway Manager
to monitor review and develop pen portraits, accidents and incident records and individualised care plans.
• Coordinate rotas and communicate with playscheme staff regarding their availability to work, and to process contracts, expenses, and DBS requirements.
• Maintain training needs analysis for all staff.
• To scan, file and securely save relevant paperwork from playscheme staff.
• To assist in gathering content for our quarterly Breakaway Newsletters for parents.
• To visit playscheme periodically to liaise with the staff, build rapport and take photos of activities(usually during office hours on school holidays)
• To distribute feedback surveys and assist the Breakaway Manager in collating and evaluating parents and Children’s views/feedback to enable the manager and Play Leaders to develop activities for the service.
• To undertake any reasonable duties as directed by the Breakaway Manager or a member of the Senior Leadership Team.

Essential Skills/Abilities

• Excellent organisational skills
• Strong interpersonal and communication skills
• Good IT skills, including, Word, Excel, Outlook, with the ability to prepare and present reports and documents
• Ability to work as a member of a team, and on own initiative
• Ability to manage conflicting priorities
• Ability to establish and, maintain effective relationships with a wide variety of people

Desirable:

Ability to manage social media, marketing ,and design newsletters.

Essential Knowledge and Understanding
• Knowledge and understanding of special educational needs and disabilities through work or personal circumstances.

Desirable:
• Knowledge of Ofsted and its requirements
• Understanding of safeguarding and risks to children and young people

Qualifications Essential

GCSEs in Maths and English

• 5 GCSEs grade A*-C or equivalent

Experience Essential

• Experience of working in an inclusive environment
• Providing equal opportunities
• Working with professional confidentiality
• Working to deadlines

• Experience of working in an office, filing, scanning, maintaining electronic records.

Other requirements
• Flexibility on working hours for occasional meetings out of hours or playscheme attendance.
• A full DBS check will be required.
